Minutes of 10/22/08

The meeting was called to order at 7:00 pm.

Chairperson Pete Jones, Secretary Lucy Edwards, and Selectmen’s Representative Ken Curley were in attendance.  Bill Tappan and Robert Young were not present.

Ken Curley volunteered to be acting-secretary since Lucy Edwards had just come off an illness and was not feeling up to taking notes.

The one agenda item was to review proposals from vendors for providing information technology support to the town hall and make a recommendation to the Board of Selectmen. Pete Jones recused himself from the discussion since he had submitted a proposal.  Selectman Curley distributed the proposals.

The following vendors submitted proposals:

Daystar - Computer Services NH, 121 Shattuck Way, Suite 10, Portsmouth, NH 03801

Deerfield Technologies, P.O. Box 303, Northwood, NH 03261

Network Managers & Trainers, Inc., 5 Prospect St., Tilton, NH 03276

Portsmouth Computer Group, 30 Mirona Road Extension, Portsmouth, NH 03801

Ken Curley and Lucy Edwards opened each proposal and reviewed it in detail and discussed its support options and hourly costs. They then made comparisons between all the plans.
Ken Curley made a motion to recommend to that the Selectmen hire Deerfield Technologies as the IT support vendor for Town Hall. The motion was seconded by Lucy Edwards. During discussion Ken Curley explained that Deerfield Technologies charged the lowest hourly rate and had a support plan which best fit the needs of the Town Hall.
The motion passed 2 for, 0 against, 1 abstention.

The meeting adjourned at 7:46 pm. The next scheduled meeting is on Wednesday November 19th at 7 pm at the Town Hall.
